Configuring values for Purchasing lookup field


Track‑It! enables you to define and maintain lookup values used in Purchasing forms. You can use Purchasing lookup fields to standardize information such as vendors, order types, shipping methods, or other purchasing‑related data. Before you can use a lookup field on a Purchasing form, you must configure the values that should appear in that lookup. Similar to other lookup fields in Track‑It!, special characters such as {, }, &, and other restricted symbols cannot be used when defining lookup values.

For example, if you want to add a lookup field that allows technicians to select a preferred vendor while creating a purchase order, you must first add all vendor names as lookup values. Only after configuring these values can you use the lookup field effectively on the Purchasing form.

You can customize the field label of Purchase lookup field only after you add the field to a custom form. For more information, see Customizing forms for groups.

To configure values for purchase lookup field

  1. On the header bar, expand the hamburger menu image2017-4-27 15_14_28.png, and select Configuration.
  2. Click Lookups and then from Purchasing Lookups list, select Purchase Order Lookup 01.
    There are five Purchasing Lookup groups available. You can choose any one of these (Purchase Order Lookup 01–05) based on the lookup field you want to configure.
  3. On the Purchase Order Lookup 01 page, click New to add the purchase information.
  4. In the Lookup Name field, enter an appropriate name.
  5. (Optional) If you want to designate the value as the default value for the lookup field, select the Default check box.
  6. Click Save.
  7. To add more values for the lookup field, repeat step 3 through 6.
  8. (Optional) To edit a lookup value, from the list select a value, and click Edit image2017-4-27 15_20_37.png.
  9. (Optional) To delete a lookup value, from the list select a value, and click Delete image2017-4-27 15_21_11.png.
